Universal Title - Accounting

The Trust Accounting & Wire Operations Specialist plays a critical role in ensuring the secure and accurate handling of client funds in accordance with ALTA best practices and state regulations. This position is responsible for reviewing and releasing outgoing wires related to real estate settlements, performing and overseeing daily reconciliations of escrow/trust accounts, and managing the escheatment process for unclaimed funds. The ideal candidate will have a strong understanding of title and settlement procedures, escrow accounting, and regulatory compliance requirements.

KEY RESPONSIBILITIES INCLUDE: 

Wire Processing & Review:

  • Review wire requests for accuracy, proper authorization, and supporting documentation.
  • Confirm wire details comply with company security protocols and fraud prevention policies.
  • Release wires through banking platforms in a timely and accurate manner.
  • Communicate with escrow officers, title agents, and bank representatives to resolve any discrepancies or delays.

Trust/Escrow Account Reconciliation:

  • Perform daily three-way reconciliations of escrow accounts in accordance with ALTA best practices.
  • Investigate and resolve discrepancies between bank activity, trial balances, and transaction ledgers.
  • Ensure accurate and complete documentation of all reconciliations for internal review and audit compliance.
  • Work with escrow teams to ensure timely posting and resolution of outstanding items.

Escheatment & Unclaimed Funds Management:

  • Monitor dormant funds and aging outstanding checks in trust accounts.
  • Research unclaimed property in accordance with applicable state escheatment laws.
  • Coordinate escheatment filings and submissions, ensuring timely compliance with deadlines.
  • Maintain accurate records of escheated funds and correspondence with state agencies.

Compliance & Audit Support:

  • Ensure operational adherence to regulatory standards including ALTA Pillar 2 (Escrow Accounting Controls) and state-specific trust accounting regulations.
  • Assist with internal and external audits, providing reports and documentation as required.
  • Participate in the development and improvement of processes related to trust accounting and wire procedures.

QUALIFICATIONS: 

  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
  • 2–5 years of experience in title/settlement industry accounting, trust accounting, or escrow operations.
  • Familiarity with escrow accounting software (e.g., SoftPro, RamQuest, Qualia, ResWare) and online banking platforms.
  • Strong knowledge of three-way reconciliation processes and escheatment requirements.
  • Detail-oriented with excellent problem-solving and organizational skills.
  • Ability to manage deadlines and multitask in a high-volume, deadline-driven environment.
  • Strong interpersonal and communication skills, with the ability to work collaboratively across departments.

We are seeking a Loan Documentation Specialist. In this role, you will support the Lending staff and Loan Administration management in the day-to-day operations of the loan division. The Loan Documentation Specialist will complete all the necessary steps (as summarized below) to prepare a loan for settlement once a loan approval has been assigned by the SVP or AVP of Loan Documentation and Administration. Once settlement has occurred, the Loan Documentation Specialist will then forward the loan file for funding and booking. 

Essential Functions include:

  • Receive new loan approvals, renewals, modifications and/or extensions of commercial, real estate or consumer loans from the SVP or AVP of Loan Documentation and Administration. Review loan approval and electronic file for completeness and communicate with the loan officer on any missing documentation needed in order to proceed towards settlement (i.e. entity docs, insurance, etc.).
  • Engage title companies and order the necessary lien searches depending on loan transaction type and approval requirements. The Loan Documentation Specialist will review the supporting documents for accuracy and confirm they abide by FVCbank’s Loan Policy.
  • Prepare loan documentation internally using LaserPro. Once documents are completed, and all necessary items have been received and reviewed in order to proceed to settlement, the file should then be delivered to the loan officer and SVP of Loan Documentation and Administration for review. All supporting documentation (i.e. title work, insurance, appraisal, etc.) must be in the file prior to said review. The Loan Documentation Specialist will prepare the closing instruction letter for the title company prior to settlement.
  • In the event documents are to be attorney prepared, the Loan Documentation Specialist will be required to engage the attorney requested by the loan officer and work with all parties involved to collect necessary checklist items and proceed towards closing. This includes, among other things, confirming that draft documents are reviewed by both the loan officer and the underwriter.
  • Once settlement has occurred, the Loan Documentation Specialist will prepare the funding & booking form and forward the loan workflow and file to funding and booking.
  • Assist in the documentation, closing, funding and booking of Lightning Lending Loans.
  • Order checks for HELOCs, if necessary.
  • Upload and/or scan files and documents to M-Files.
  • Update Loan Status Report and Workflow on a daily bases so Lending Team knows the status of all loans.
  • Work post-closing ticklers and insure that all post-closing requirements are met in a timely manner.

QUALIFICATION/EXPERIENCE REQUIREMENTS: 

  • High School diploma or other specialized training.
  • Highly organized.
  • Proficient in Microsoft Office Suite.
  • Excellent written and verbal communication skills.
  • Ability to multi-task.
  • Minimum of 3 years of loan documentation experience, with an emphasis on commercial transactions.
  •  Professional and effective interpersonal skills.
  • Prior banking experience.
  • Notary preferred.
