We are seeking a National Commercial Services (NCS) Coordinator. Under general supervision of a National Commercial Services Manager, NCS Counsel or Accounts Administrator, performs all phases of processing complex single site, multi-site, multi-state title insurance orders for transactions involving high liability or commercial transactions, from solicitation to closing; to place, track, and receive/export national orders, overseeing all phases of the process, as well as support sales and underwriters by completing related tasks.. 


  • Solicits, opens, processes, and closes multi-state, multi-property and individual title insurance orders that vary from simple to complex
  • Performs routine and complex closings for assigned and directly placed orders, following procedures and instructions that vary with transaction and customer. Closing duties may involve ordering title work and mortgage statements, preparing settlement statements, forwarding closing package to appropriate parties, recording documents, holding escrow funds, ordering title policy, etc.
  • Coordinates bidding process and placement of national orders with issuing office, headquarters and customer. Processes orders in accordance with customer's instructions, prevailing underwriting procedures and applicable laws.
  • Opens escrow accounts; invests funds in interest bearing account; receives and disburses funds, following escrow agreements and settlement statements. Initiates and receives necessary wire transfers.
  • Corresponds with transaction principals to coordinate national title insurance orders and assures orders comply with customer and lender instructions. Answers customers' questions and informs customers of title commitment requirements, availability of coverage, closing procedures, premiums, etc.
  • Compiles and generates invoices. Coordinates payment and funding to other offices and other service providers as necessary.
  • Contacts customers in person and by telephone to maintain favorable relationships and to provide information about company services.
  • Completes periodic reports as requested, e.g. monthly order reports listing files opened and the policy amounts.
  • May train and direct work of lower level national service staff or others performing relatedwork.
  • Oversee processing of all phases of order placement.
  • Scan, label, upload all documents to SoftPro and SmartView.
  • Track commitments and documents on single-site and multi-site deals.
  • Follow up consistently and appropriately (email, phone).
  • Convert .pdf title commitments to Word documents as needed.
  • Properly document files so that co-workers may service the customer efficiently.
  • Utilize the server and store all transaction information where appropriate.
  • Understand and use RamQuest, SmarView, Outlook, Excel, Word, and other company software proficiently.
  • Meet Management deadlines to satisfaction (commitments, pro forma policies, policies, docs, local order numbers, open & closed steps).
  • Support other departments with key customers and deals.
  • Work with staff and manager to develop workflows and tracking reports.
  • Perform all other office functions as needed.
  • Refer appropriate information and feedback to Manager and/or Sales Rep.
  • Assist with building and maintaining a customer following.
  • Respond to all customer requests within 4 hours.
  • Adhere to all customer service committee guidelines.

  • Verifies computation of fees, rents, tax and water pro-rations, HOA dues and fees, brokerage commissions and other expenses and prepares records to create the Closing Disclosure for settlement.
  • Collects and enters data into software.
  • Tracks and records data covering each purchase or refinance.
  • Orders bring-to-date of title immediately after closing and prior to recording.
  • Enters documents into e-recording system.
  • Tracks documents in e-recording system until documents are recorded.
  • Follows up on any recording rejections until rejections are corrected and documents are recorded.
  • Answers queries regarding contracts by mail, telephone or personal discussion.
  • Reviews title to determine insurability and to determine requirements to insure the title and exceptions from title insurance coverage.
  • Confers with abstractors, landowners and buyers to obtain the necessary explanations and documentation to issue clear title.
  • Investigates whether taxes are current or delinquent on each property and obtains the amount necessary to bring taxes current and transfer title. 

Skills Needed: COMMUNICATION SKILLS - Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively to members and before groups of employees of the organization and to present a professional image at all times. MATHEMATICAL SKILLS - Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent. REASONING ABILITY - Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. OTHER SKILLS AND ABILITIES - Typing, 10 key calculator, telephone, personal computer, Microsoft Outlook, Excel Beginner and Word beginner level. Knowledge and experience using the TitleExpress title software system is a plus.

•Opens files upon receipt of title request from electronic order system, real estate agent, borrower, or lender.

•Reviews, finalizes, scans, and returns completed lender closing packages once received from closer.
•Prepares settlement packages for disbursement; balances the file, compares disbursement ledger to CD and ALTA settlement statement to ensure all information and numbers match.
•Prints all checks to be signed and verified by the designated check signers.
•Ensures all payoffs go out the same day the file is disbursed via wire or UPS to respective lender.
•Tracks all documents in recording pipeline to ensure timely recording and immediate handling of rejections.
•Serves as back-up closer in the event attorney is unavailable.
•All employees cover for each other during vacation or sick leave. This means you may have to occasionally take on tasks outside of the normal scope of your job.

  • Experience with trade associations preferred.
  • Familiarity with fair housing, real property, real estate brokerages, or professional standards a plus.
  • Excellent legal reasoning and communication and interpersonal skills required.
  • Computer literate (virtual meeting platforms, Word, Excel, Outlook, PowerPoint, Westlaw, internet research and use).
  • Outstanding customer service orientation.
  • Ability to function effectively in a variety of challenging situations and circumstances, including difficult project deadlines, tight budgets, and evolving goals and objectives.
  • Excellent work ethic and attendance.
  • Consistency in giving feedback regarding work progress, timetables and issues.

 Work Environment and Working Conditions: This job generally operates in a professional office environment. This role routinely uses standard office equipment; communicates by telephone, video conferencing, e-mail, letters, memos, and in person on a daily basis; has a medium to high level of social contact. Regularly works in a group or team, but also spends time alone researching and analyzing cases and/or issues.  This role may require spending time both in and out of the offices and travel to client and business sites and venues.
